Recently, Gmail rolled out a cool little feature called “undo send”. Basically this feature allows a user to “call back” a sent email. “Undo Send” doesn’t actually pull the email from the recipient’s mailbox; but instead puts a small time limit on the email before it is sent from your account. This allows you to undo a “sent” email for up to 30 seconds.

This is very useful if you accidentally forgot to attach a document or having the wrong recipient for the email. I would recommend enabling this feature. It may save you some embarrassment down the road.

Here is how to enable “Undo Send” for your Gmail account.

Step One: Log into your Gmail account.

Step Two: Click the gear in the right hand corner and go down to Settings.

Step Three: Once Settings is opened click the General tab and you will see an Undo Send Option.

Check the box enable undo send. You can specify how long you want Undo Send to be available. You can choose between 5-30 seconds.

Scroll down to the button of your page and save settings.

Now when you send an email you will have an option up top to undo send.

If you decide to recall one of your email messages you will see the following pop-up.

Our customer recently switched to Microsoft’s Office 365 exchange service as their email provider. Previously to this transition, this company was hosting their own exchange server. After the upgrade some of the employees would get an error message when emailing within the organization. Here is the message:

The email address you entered couldn’t be found. Please check the recipient’s email address and try to resend the message. If the problem continues, please contact your helpdesk.

The email addresses didn’t change during the upgrade to Office 365. The users were correctly entering the email addresses as well.

So the first thing to try is to delete the autocomplete in Outlook. When you enter the recipient in Outlook , delete the autocomplete suggestion that pops up.

See if that fixes the issue, it didn’t for me .

I then downloaded this NK2View tool from here. I ran this cool little utility and it brought up the autocomplete cache. I scrolled down to the email recipient my customer was having trouble emailing and deleted that entry. I then tried sending a test email and it worked like a charm.

Resolution: When I used the NK2View utility to delete the entry it actually deleted the autocomplete entry for real. Apparently, when they were trying to email within the organization the autocomplete had saved some information about their previous email servers and was trying to deliver the message to the old server. I just deleted the autocomplete entry and everything was fine.

Problem: A company split and they were using Office 365 for their email provider. Company A kept the domains. Company A kept all the existing user accounts and email addresses. Company B created a new Office 365 account with their own domain and new email addresses. We needed to be able to forward Company B’s emails to their new addresses, but Company A didn’t want to pay for their Office 365 licenses. Here is the resolution we came across. It worked quite well.

Resolution: I logged into Company A’s portal. I deleted the Company B’s user accounts that were no longer being used.

I then went into the Exchange admin center and clicked on Contacts.

I then created a new mail user.

I filled in the credentials for the new mail users. Note, make sure you keep the alias and the user ID the same (ex. Alias: test.user and then user ID: would be test.user@domain.com). In the external email address field I put in their new email address. I clicked save

and then sent an email to the alias. It wasn’t long and an email showed up in my inbox. The forwarder worked without a hitch!

For the past while, a lot of people have asked me to set up their Office 365 email accounts on their iPhones. I decided I would write a small post on setting up Office 365 email accounts on your iOS device. The screenshots I have included in my tutorial were taken with an iPhone that was running iOS 7.0.2. However, these settings will work for those of you who are running older versions of iOS. If you have an Android device click here for instructions.

Step One: Touch Settings

enter the following information. In the Server field enter outlook.office365.com and in the username field put your email address (ex. email@company.com) in. Keep the domain empty. Click next to verify the information. It should now find your email account.

Additional troubleshooting if your iOS device will not find your account.

1. Make sure your email address and password are entered correctly.

2. If your phone is connected to Wifi, disconnect it and try again.

3. If it still doesn’t find your settings, restart the phone and make sure wireless is turned off and then re-add the account.

4. If it still can’t find the information save the account and wait an hour an see if it starts synchronizing.

How many times do you find yourself scratching your head because you forgot your email password? Or how about when you are setting up an email account for a friend or customer and they don’t remember what it is?

I recently ran into a situation where I was setting up email accounts on some new computers we had just installed. The problem was I didn’t know the passwords for the email accounts I was setting up in Microsoft Outlook. That is when I discovered this tool that will reveal the email account passwords in Microsoft Outlook. Here are the steps to retrieve your password if your account was previously set up in Outlook. ( This also works in Windows Live Mail.)

Go to your Control Panel> User Accounts>Mail > Show Profiles. Select the profile you want.

Then select Properties. Click on the email address that you need the password from and then select change. You should now be at the screen that shows your email account information including your password (with asterisks). Keep that window open.

Download this tool: asteriskkey

Run through the install wizard.

You should eventually come up to the following screen.

Click the recover link. Wait a couple seconds and this asterisk key tool will reveal your password.

Wasn’t that easy? This little tool has made my life so much easier. Let me know how you make out.

I recently upgraded a user from a standard Pop3 email account to a Microsoft Exchange Office 365 email account. The upgrade went great and all the email was transferred, but the user complained about their auto-complete email contacts were not showing up when they typed a contact’s email address in the “send” field. This user was running Windows 7 and was using Outlook 2010. Here are the steps to retrieve the auto-complete file and use it in the new profile.

Step One: Close Outlook

Step Two: Browse to the RoamCache where the auto-complete file is stored. (location is C:\Users\”user.name”\AppData\Local\Microsoft\Outlook\RoamCache

Step Three: Rename RoamCache to old_RoamCache

Step Four: Open Outlook, and create a new email and put a valid email address in the to. . field. Close the new email ( you don’t need to save ). Close Outlook

Step Five: Step 4 creates a new Stream_Autocomplete_”long GUID….xx”.dat DAT File of 1KB in a new RoamCache folder.

Step Six: Change the extension of the file in Step 5 from .dat to .dat22

Step Seven: Copy the original Stream_Autocomplete…from old_RoamCache & paste into the RoamCache folder

Step Eight: Copy the GUID string from the .dat22 and replace the GUID of your previous Stream_AutoComplete

Step Nine: Open Outlook, all of your previous auto-complete entries are now available.

I hope this helps. Special thanks to femi for making my day a lot easier. This post was posted by techspeeder.

Update 5/19/2015: Since I posted this article back in 2013, Google has made some changes in the email department. In Android Lollipop, you now set up your Exchange email accounts in Gmail. Below you will find a video tutorial on how to set up your Office 365 exchange account in Gmail. If you aren’t running Android Lollipop please follow the instructions below this video.

It can be a little confusing to set up Office 365 Exchange email account on an Android device. Here are the steps to set up your email account.

Step One: Go to Settings > Add account
